Request for Proposals:  OAWA Membership Registrar

The Membership Registrar is based out of the Ontario Amateur Wrestling Association corporate office (Toronto), however most of the work can be done off-site.  Some work will involve travel to and attendance at events.  Work Location for the eventual successful incumbent is therefore flexible, but periodic travel to the Association will be required to successfully complete the tasks.  

The OAWA Membership Registrar carries out the duties as outlined below.  This is a contractor relationship requiring completion of tasks assigned in a reasonable and timely fashion.

Work space and use of administrative services (phone, etc.) will be available at the OAWA office.

FEE FOR SERVICE:

The successful applicant will act as a Contractor to the OAWA, invoicing the Association.   Fee for service will range from $2,500.00 to $3,500.00 for the period September 15, 2019 to August 31, 2020.   Once the final fee for service is determined, the Membership Registrar will invoice the OAWA as instalments become due.

This is not an employment contract, and no other benefits are provided.

Reasonable expenses will be negotiated in advance and reimbursed upon submission as required.  Travel to events and other purposes for the completion of the tasks outlined will be reimbursed, but travel to work at the OAWA office will not.

OTHER:

In the interest of delivering the best service possible to its members, the OAWA will consider alternative solutions for the delivery of this service.  This may include tasks being taken on by a Club or group instead of an individual. Please submit your proposal accordingly.

All Contractors are expected to abide by the OAWA Code of Conduct and other relating Policies.  The Contractor will be required to provide a valid Police Background Check and Vulnerable Sector Search.  Contractors are responsible for any cost relating to obtaining these.

OAWA MEMBERSHIP REGISTRAR DUTIES

5.1The OAWA Membership Registrar will be responsible for the following:

Consult with OAWA Staff, Executive Committee, and Wrestling Canada Lutte on the design of a new on-line Registration System for OAWA for 2020 if possible.

If this is not possible, assist in the design of an interim OAWA Membership system until a WCL system can be put in place.

Monitor the intake of Membership applications through the OAWA on-line Registration system

Generate invoices to clubs for memberships.

At the same time, advise clubs who proof of age is required for and advise any member-applicant who is turned down for membership in a club.

Monitor that payment of these invoices is paid and provide membership receipts to the OAWA Provincial Director along with details regarding these payments on a timely basis.

Receive hardcopies of membership forms for Recreational memberships, and proof of age as required for on-line registrations.

Monitor Coaches and Officials applying for memberships and determine which need full Criminal Background Checks.

Finalize memberships for Coaches and Officials once background checks are received.

Notify the OAWA Provincial Director for any Coach or Official failing a Criminal Background Check.

Assist and consult with clubs, the OAWA staff and Executive, and the Ontario Amateur Officials’ Association as required on the Officials membership process.

Print O.A.W.A. membership list/proof of membership for any club requesting them.   

Provide full membership lists or customized lists to OAWA as required.

Attend all Provincial Championships and assist in the membership portion of event registration as needed.

Assist in Membership verification as required for other OAWA Sanctioned events.
